This is a record-keeping and template aid for small contractor payroll — it is not tax or payroll-compliance software. Federal, state, and local withholding amounts vary by employee, location, and filing status. You are responsible for calculating and filing the correct withholding and for keeping your own payroll records accurate.

What goes on a contractor’s pay stub
Even without full payroll software, every pay stub you hand an employee should show the same core pieces: the employer name, the employee name, the pay period and pay date, an itemized earnings section (regular hours and rate, overtime hours and rate), the gross total, each deduction on its own line, and the net pay. Many states legally require you to provide a written stub every pay period — check your state’s wage and hour rules for the specifics.
Gross pay, the same math as the overtime calculator
Gross pay here uses the identical formula as the overtime pay calculator: regular pay (rate × regular hours) plus overtime pay (rate × OT multiplier × OT hours). At the defaults above — $28/hr, 40 regular hours, 6 OT hours at 1.5× — that is $1,120.00 regular pay plus $252.00 overtime pay, for $1,372.00 gross. Net pay is simply gross minus whatever you enter for federal tax, state tax, and FICA/other.
Payroll & Timesheet Kit
A payroll register, per-employee pay stub log, and timesheet template that keep every pay period organized in one spreadsheet — the paper trail an accountant or auditor will actually want to see.
Employee or 1099? Check before you issue a stub
A pay stub with tax withholding only applies to actual employees (W-2). If the worker is a 1099 independent contractor, you do not withhold taxes at all — you pay the invoiced amount in full and issue a 1099-NEC at year-end instead. Not sure which one applies to someone on your crew? Read 1099 vs. W-2 for trades before you run the next pay period, and see the full walkthrough in how to do payroll for a small contractor business.
Frequently asked questions
Is this pay stub legally valid?
It is a formatted record template, not certified payroll software. Most states accept a stub in this format as long as it shows hours, rate, gross pay, itemized deductions, and net pay — but confirm your state’s specific pay-stub requirements before relying on it exclusively.
How do I know how much federal and state tax to withhold?
Withholding depends on the employee’s W-4, filing status, income level, and your state’s rules — this tool does not calculate it for you. Use the IRS withholding tables, your state’s tax agency, or a payroll service to get the exact figures, then enter them here to see the net.
What is FICA and how much is it?
FICA is Social Security (6.2%) plus Medicare (1.45%) — 7.65% of gross pay for most employees, matched by the employer. Some owners also enter other deductions (benefits, garnishments) in that same field.
Can I print this pay stub or save it as a PDF?
Yes. Use the "Print / save as PDF" button, which opens your browser’s print dialog with a clean, stub-only layout — choose "Save as PDF" as the destination if you want a file instead of a paper copy.
